Privacy Policy
Your privacy is important to the International Union of Geodesy and Geophysics (IUGG). This Privacy Policy explains what data we may collect from you and how we may use, store, and transfer your information. We may make changes to this Privacy Policy. If we do, we will post the revised Privacy Policy on the IUGG website so that you will always know what information we collect and how it might be used.

What personal information the IUGG collects about you
When you interact with the IUGG e.g., by taking a role within IUGG or within one of its sub-entities (incl., Associations, National Committees etc.), or by signing up to receive e-mails through the mailing list, IUGG receives and collects personal information about you. This personal information may include first name, surname, title, role within IUGG, physical (work) address, phone number, fax number, and E-Mail address.

How the IUGG uses personal information
The IUGG uses the information we receive from our sub-entities and collect about you to stay in contact with the IUGG community; to be able to inform you about important announcements, events, and other relevant news; to provide you with information that you have requested; or to communicate relevant information about IUGG projects, data, services, and other updates. Depending on your role within IUGG or within one of its sub-entities, this personal information might be published on the IUGG website or in the IUGG Yearbooks subject to your consent. We keep your information for no longer than is necessary for the purposes it was collected for.

Updating or deleting your personal information
The accuracy of your personal information is important to the IUGG. You can modify or delete your personal information incl. updating your subscription to the IUGG E-Journal by contacting the IUGG Secretariat (secretariat@iugg.org). Requests to unsubscribe may not take effect immediately.

Protecting personal information
The IUGG uses safeguards to ensure that your personal information is secure. Once we have received your information, we will use appropriate procedures and security features intended to prevent unauthorized access to our database.

Requesting removal of content from IUGG online resources
You have a right to your privacy. We would like to assure that we address your privacy concerns. If you identify any content you desire to be removed, please contact the IUGG Secretariat (secretariat@iugg.org). You can file a complaint about how we process your personal information by contacting the IUGG Secretariat (secretariat@iugg.org).

REGISTRATION WITH THE PORTAL OR FORUM
You can register on our website by providing personal data. The personal data processed for registration is indicated in the input mask used for registration. We use the so-called double-opt-in procedure for registration, i.e. your registration is only completed once you have confirmed your registration by clicking on the link contained in a confirmation e-mail sent to you for this purpose. If your confirmation is not received within 24 hours, your registration will be automatically deleted from our database. The provision of the aforementioned data is mandatory. You can provide all other information voluntarily by using our portal. If you use our portal, we store your data required for the fulfillment of the contract, including any information on the method of payment, until you finally delete your access. Furthermore, we store the voluntary data you provide for the duration of your use of the portal, unless you delete it beforehand. You can manage and change all information in the protected customer area. The legal basis is Art. 6 para. 1 lit. f DSGVO. In addition, we store all content published by you (such as public posts, pinboard entries, guestbook entries, etc.) in order to operate the website. We have a legitimate interest in providing the website with the full user-generated content. The legal basis for this is Art. 6 para. 1 lit. f DSGVO. If you delete your account, your public statements, especially in the forum, will remain visible to all readers, but your account will no longer be retrievable. All other data will be deleted in this case.

USE OF CUSTOMER DATA FOR NEWSLETTER

Registration for our e-mail newsletter
If you register for our e-mail newsletter (E-Journal), we will regularly send you information about our offers. The only mandatory data for sending the newsletter is your e-mail address. The provision of further data is voluntary and will be used to address you personally. For sending the newsletter we use the so-called double opt-in procedure. This means that we will only send you an e-mail newsletter after you have expressly confirmed that you consent to receiving newsletters. We will then send you a confirmation e-mail asking you to confirm that you wish to receive the newsletter in the future by clicking on an appropriate link. By activating the confirmation link, you give us your consent for the use of your personal data in accordance with Art. 6 (1) lit. a DSGVO. When you register for the newsletter, we store your IP address entered by your Internet service provider (ISP) as well as the date and time of registration in order to be able to trace any possible misuse of your e-mail address at a later date. The data collected by us when you register for the newsletter is used exclusively for the purpose of addressing you in an advertising manner by way of the newsletter. You can unsubscribe from the newsletter at any time via the link provided for this purpose in the newsletter or by sending a corresponding message to the person responsible mentioned at the beginning. After unsubscribing, your e-mail address will be deleted from our newsletter distribution list immediately, unless you have expressly consented to further use of your data or we reserve the right to use your data in a manner that goes beyond this, which is permitted by law and about which we inform you in this declaration.

Newsletter dispatch via MailChimp
Our e-mail newsletters are sent via the technical service provider The Rocket Science Group, LLC d/b/a MailChimp, 675 Ponce de Leon Ave NE, Suite 5000, Atlanta, GA 30308, USA (http://www.mailchimp.com/), to whom we pass on the data you provided when registering for the newsletter. This transfer takes place in accordance with Art. 6 (1) lit. f DSGVO and serves our legitimate interest in using a newsletter system that is effective in advertising, secure and user-friendly. Please note that your data is usually transferred to a MailChimp server in the USA and stored there. MailChimp uses this information to send and statistically evaluate the newsletters on our behalf. For the evaluation, the e-mails sent contain so-called web beacons or tracking pixels, which are single-pixel image files that are stored on our website. This makes it possible to determine whether a newsletter message has been opened and which links, if any, have been clicked on. With the help of the web beacons, Mailchimp automatically creates general, non-personal statistics about the response behavior to newsletter campaigns. However, based on our legitimate interest in the statistical evaluation of newsletter campaigns for the optimization of promotional communication and better targeting of recipient interests, the web beacons also collect and utilize data of the respective newsletter recipient (mail address, time of retrieval, IP address, browser type and operating system) in accordance with Art. 6 (1) lit f DSGVO. This data allows an individual conclusion to be drawn about the newsletter recipient and is processed by Mailchimp for the automated creation of statistics that reveal whether a particular recipient has opened a newsletter message. If you wish to deactivate the data analysis for statistical evaluation purposes, you must unsubscribe from the newsletter. MailChimp may also use this data itself in accordance with Art. 6 (1) (f) DSGVO on the basis of its own legitimate interest in the needs-based design and optimization of the service, as well as for market research purposes, for example to determine which countries the recipients come from. However, MailChimp does not use the data of our newsletter recipients to write to them itself or to pass them on to third parties. To protect your data in the USA, we have concluded a data processing agreement („Data Processing Agreement“) with MailChimp based on the standard contractual clauses of the European Commission to enable the transfer of your personal data to MailChimp. Facebook plugins with Shariff solution

Use of Youtube videos
This website uses the Youtube embedding function to display and play videos of the provider „Youtube“, which belongs to Google Ireland Limited, Gordon House, 4 Barrow St, Dublin, D04 E5W5, Ireland („Google“). The extended data protection mode is used here, which, according to the provider, only triggers the storage of user information when the video(s) is/are played. If the playback of embedded Youtube videos is started, the provider „Youtube“ uses cookies to collect information about user behavior. According to information from „Youtube“, these are used, among other things, to collect video statistics, to improve user-friendliness and to prevent abusive behavior. If you are logged in to Google, your data is directly assigned to your account when you click on a video. If you do not want the assignment to your YouTube profile, you must log out before activating the button. You have the right to object to the creation of these user profiles, whereby you must contact YouTube to exercise this right. The use of YouTube may also result in the transmission of personal data to the servers of Google LLC. in the USA. Regardless of a playback of the embedded videos, a connection to the Google network is established each time this website is called up, which may trigger further data processing operations without our influence.
